On the Matter of Style

In the business world, style has a variety of meanings — style manuals, personal writing style, standard and informal writing styles. Unless you are responsible for editorial practices within your organization, you can forget about style manuals. But what about personal writing style, and what's the difference between formal, standard, and informal English?

 

Personal Style

 

Two people, John and Mary, have been asked to give their opinions on whether a certain product was worth the price. John says, "We could have bought three new fax machines for what we paid for this. " Mary says, "1 can not honestly say that the product was worth the expense." They are sending the same message, but their personal styles differ. Like you and me, they respond to situations at home and in the office in ways that reveal a variety of influences and characteristics: parental teachings, education, environment, and even mood of the moment. Regardless of the stimulus, their responses are unique and highly personal. 

 

Formal Writing

 

Formal writing is generally confined to legal contracts, insurance policies, wills, and diplomatic documents, etc. Letters, memos, reports and the like are considered more formal than not, but they do not have to be written in the same language as a proclamation or State Department document. Unfortunately, most of them are. 

 

Standard English

 

The bulk of everyday business writing would still be appropriate — and far more efficient — if it were written in standard English, loosely defined as the language of educated people. The tone may be formal, but the language itself need not be. In some corporations, attorneys and contract administrators must conform to grammar and terminology based on legal precedent. Fortunately, the rest of us are not bound by such precedent. 

 

Informal English

 

There is also an informal style, the kind of conversational writing that goes back and forth between people who work together, or between people who would be uncomfortable trying to maintain an air of formality. Your goal, after you have analyzed your purpose, audience, and message, is to decide which is appropriate in your circumstance. In most cases, your choice will depend on your working relationship with your readers. Let's bring John and Mary back on stage.

 

In the following example, John is writing to co- workers. He therefore chooses an informal style, recreating the way he would talk to them:

 

The regional auditors will be here next week, on the 5th. Let' s get the place cleaned up and go over the deficiencies one more time. We have to better the score we got last time.

 

He uses contractions (Let' s) and conversational phrases: cleaned up, go over, and better the score. Mary, the auditor in this scenario, tours John's department, goes away, and sends an email to John and his boss. She has a formal relationship with John, his company, and his department. She therefore chooses a conservative style.

 

Speaking for the District VI Office of Administrative Policies and Procedures, I am pleased to say that our July 10 inspection of your facility resulted in an overal efficiency rating of 98 percent, five percentage points above the rating you received January 22, 1991. Mary's choice, standard English, is appropriate for the bulk of everyday letters, memos, emails, and reports. Fortunately, she has NOT been taught that everything she writes should look like this:

There are still pockets of resistance to Mary's first version, the one in standard English. Habit, herd instinct, pretentious attitudes, misunderstanding – they all could be culprits in the continuous flow of difficult reading that crosses our desks every day. Some say vanity is to blame, causing writers to purposely choose lofty language because they want to be seen as lofty individuals.

 

Others suggest that some writers resort to smoke-screen language because any attempt at clarity would surely reveal a lack of knowledge. Most readers see through such camouflage, and invariably fault the writer. Whatever style you choose, your goal is always the same — clarity.

Under contract to a variety of public and private organizations, corporations, local government agencies, advertising agencies and university training centers, he has planned, created, written and produced the gamut of both internal and external communications, including Web site content, magazine articles, newsletters, print ads, brochures, trade show presentations and display copy, product bulletins, slogans, news releases, proposals, and executive summaries for both domestic and international readers.

His 24 articles and essays have appeared in SAIL magazine, Caribbean Travel and Life, Defense and Foreign Affairs, Cruising World, Caribbean Sports & Travel, Military Technology, Vertiflite, Brevard Business News, Signal Magazine, the Miami Herald, Journal of the Society for Technical Communication, and the Journal of the American Sailing Association.
